To those who have heard this for the first time, RSVP is a French word that is Repondes Silvouple meaning “Please Reply”, in other words, please call us and confirm your attendance on this occasion. Complying with this will help the event organizer, the host, and the couple gauge how many they have to entertain. It will also help the caterer to balance the foods & beverages, while other vendors will know how many tables and other arrangements they need to set up. If it exceeds or less than the number of guests expected they can do something to add or lessen up early as possible. RSVP is very helpful for both the host, couple
s and suppliers to make the event successful and controlled.
In the Philippines calling your invited guests requires ample patience, because most, even till now in the millennial age, Filipinos are ignoring the RSVP etiquette. That means you should initiate the follow-up because most of your invited guests will not call. Here’s the trick, the Filipino way, to let you know who is coming :) 1. Database Creation – 4 or 3 months before, create a database of your invited guests with columns for names, contact, how many invited, and remarks, you may find sample guests database online, otherwise you may request to us thru email at altuzevents@gmail.com and we will send it to you.
2. Website Creation – your wedding or event website can also help you know who will attend, you may design and set up an RSVP button where they can just click in if they are attending or not, it will be easy for them. This is advisable at this age of flat-world. Your guests who need to buy an airplane ticket to reach your wedding day, normally are the guests who reply early.
3. Months Before – 3 or 2 months before, remind your guests about your save the date, through online or calls.
4. Table arrangements - Finalize the arrangement of the table set up and/or floor layout. This will help you know who’s who on each table. As soon as you finalized where the VIP tables, the table 1, 2, and 3… position, you may now start allocating the names of your guests accordingly.
5. Assign RSVP Brigade – your wedding coordinator can work for this or you may assign 1 person to do the calling, monitoring, and updating for you.
6. Week Before – 1 week before, ask them for their final say. Yes 1 week before, because believe me there are many changes that could happen.
Please consider these:
Don’t be surprised and don’t be upset, especially during these uncertain situations of ours, to expect cancellation even a day before your event.
A reminder also that normally Caterers have a 10% buffer for you, from the number of persons you reserved. For example, if you reserved 100 people, caterers can still serve an additional 10 guests, meaning they can serve up to a total of 110 people. Btw we expect that you are aware of this before you sign your agreement with your caterer.
Now, from here you can balance if you need to add or lessen the number of your guests.
